Goal

Confirm the feasibility and safety of the RTW plan.

Acknowledge Receipt

  • Within 1-2 business days, acknowledge receipt of the return to work plan either to Desjardins or to the member. Delays can send a negative message to members.

Review the RTW Plan

  • If the RTW plan is standard complexity, HR, the supervisor/principal and union should be involved with reviewing the plan.

  • If the RTW plan is higher-complexity, HR, the supervisor/principal, union and Desjardins should review the plan together and more oversight throughout the plan may be needed.

  • Confirm: start date/hours, duties match functional abilities, check-in schedule, supervisor contact.

  • Spot gaps: unclear limits, undefined tasks, missing equipment/accommodations.

  • Decide: safe/ready or clarify with Desjardins.

Ensure the Workplace Will be Ready

  • Safety & accessibility: confirm workstation setup, equipment, and access (keys/ID/IT).

  • Operational readiness: ensure coverage and back-ups; avoid last-minute role changes that conflict with restrictions.

  • Team readiness (as appropriate): provide the supervisor with the Supervisor RTW Guide to set respectful expectations (no probing health questions; focus on work support).

Ensure the Member is Prepared and Involved

  • Confirm logistics: ensure they know their start date/time, first-day location, who their contact person is, and how check-ins/adjustments will work.

  • Invite input: “What would help you feel most supported on your first day back?”

  • Reassure flexibility: emphasize that small adjustments are expected and can be made quickly.

  • Offer supports: EFAP, peer/buddy, union contact, and available accommodations.

Suggested Talking Points

  • “Hi [Name], I see your return-to-work plan has been shared. I just wanted to connect and let you know that I’m here to support you as you transition back. We’ll review the plan to make sure it feels workable. If there’s anything you’re unsure about or nervous about, you can talk to me anytime.”

  • “We’re looking forward to having you back. To make your first day smooth, let’s confirm the start time, where you’ll arrive, and the best number to reach you? We’ll check in with you partway through your first day, and again at the end, just to make sure the plan is feeling right.”

  • “What would help your first day back feel manageable and supported?”
