District (HR/Supervisor) Responsibilities

  • Confirm logistics with member: start time/location, first task, who to contact, check-ins, parking/access. Ensure both supervisor and member have a copy of the RTW plan.

  • Re-confirm restrictions, graduated schedule, review dates.

  • Ready the workplace: workstation, tools/IT, keys/ID, any accommodations (equipment, quiet space).

  • Distribute How to Welcome a Co-Worker Back (if appropriate) to co-workers: welcome warmly, no personal health questions, keep support work-focused.

  • Schedule training refreshers if needed (e.g., safety/lifts).

  • Share the Member RTW Quick Guide with the member (if appropriate).

Union Responsibilities

  • Check in with member: rights/responsibilities, supports, how to raise concerns.

Member Responsibilities

  • Practical prep: transportion, medication timing, meals, breaks; decide simple boundary replies to questions you be asked.

Case Example: Union Support Before Return

Maria, a school support staff member, was scheduled to return to work next week on a gradual plan after being off for several months. The RTW plan was reviewed by HR and the principal, and the union representative, James, received the summary along with the accommodation details.

Knowing that returning can feel overwhelming, James reached out with a short, supportive call:

“Hi Maria, I just wanted to connect before your first day back. I know returning can bring up lots of feelings, and you don’t have to navigate this alone. My role is to support you and make sure the plan works for you in practice. How are you feeling about next week?”

Maria shared that she was nervous about how coworkers might react and unsure how to explain her absence. James acknowledged this and provided reassurance:

“You don’t need to explain anything personal. It’s completely okay to keep conversations work-focused. If anyone asks, a simple response like, ‘I’m glad to be back and settling in with my return-to-work plan’ is all you need. And if anything feels off, I’m here to help you raise it.”
